Job Description: As an HR Assistant / Receptionist, your main responsibility will be to efficiently assist the HR Manager and act as a liaison between teams and divisions. You will coordinate with multiple parties, ensuring timely and effective communication.

Essential Duties and Responsibilities:

  • Implement and update the NYC Turn Over Action Plan, communicating actions to relevant stakeholders.
  • Organize and coordinate corporate events.
  • Draft announcements for NYC staff.
  • Coordinate the visa process for USA interns.
  • Assist in intern and employee recruitment selection, managing intern recruitment from schools like St. Joseph’s.
  • Facilitate the onboarding process for NYC interns and ensure proper documentation.
  • Assist with LinkedIn and Campus Management communication.
  • Maintain and update information for NYC weekly itineraries, ensuring Kronos is up to date.
  • Answer phone calls, welcome visitors, manage the meeting calendar, and assist with travel arrangements and visitor needs.
  • Control mail and package distribution, prepare shipments, coordinate messenger service, and verify billing.
  • Order office supplies and verify bills.
  • Ensure efficient functioning of office machines, liaising with corporate IT team, suppliers, and vendors.
  • Manage outside storage facility.
  • Liaise with building management team.
  • Perform kitchen duty and oversee office maintenance.
  • Assist Lactalis Americas’ upper management team.


  • Education: Minimum of a high school diploma.
  • Experience: Two to three years of related experience and/or training.
  • Skills/Abilities: Strong communication and organization skills, ability to manage multiple projects in a fast-changing environment, proficiency in Word, PowerPoint, and Excel, excellent typing skills; exceptional presentation skills with a pleasant demeanor, highly motivated and efficient, fast learner. Bilingual French/English or fluent in French (Spanish a plus).

Salary: $24-$28 per hour.
